A purchase order is a formal document a buyer sends to a vendor listing exactly what's being ordered, at what price, and under what terms. It usually follows a purchase requisition, and becomes a binding agreement once the vendor accepts it. That's useful for both sides if there's ever a dispute, and for your own records when it's time to reconcile invoices during invoice matching.
The PDF itself isn't editable, but you can change any field in the form and download a new version at any time. There's no limit on how many times you can regenerate it.
A purchase order is the buyer's request to purchase something, sent before the order is fulfilled. An invoice is the seller's request for payment, sent after. The purchase order comes first.
At minimum: your company and the vendor's details, a unique PO number, the order date, a description of each item with quantity and price, payment terms, and shipping details. A signature line is standard practice too.
Standard POs cover a single, one-time purchase. Blanket POs cover multiple deliveries over a set period under agreed terms. Contract POs establish terms for an ongoing vendor relationship. Planned POs forecast future needs without committing to an actual purchase yet. This tool generates standard POs.
